Wartime Weekend Spectacular

Saturday 23rd & Sunday 24th & Monday 25th May 2009

WELCOME TO THE NORTHERN WORLD WAR 2 ASSOCIATION
NOTES FOR PERFORMERS
English Heritage warmly welcomes you to Scarborough Castle and we hope you enjoy your time with us – we are certainly aware of the time commitment you give voluntarily to make this event happen. 

Arrival – Re-enactors are welcome to arrive on Friday 22nd May .  We will have all the facilities in place by 2pm.  Re-enactors are welcome to camp on site until 10am on Tuesday 26th May.  Vehicles will be allowed on site on Friday afternoon up to Saturday 9.30am


Large camper vans and trailers – Can stay at St Mary’s church yard free over the weekend.  Situated at bottom of castle on right hand side, next to church.

Modern Campsite – Please do set up camp and cars in a safe way so as to give yourself walkways, emergency routes, etc but please keep the campsite as tight as possible.
Security – The main gate will have a combination padlock on it after-hours from 6.00pm – 9.30am.  The combination is known to staff, Emergency Services, etc and will be given to all performers so you can go to and from the castle in the evening.  The combination is 1066.  Please do not park on the hill nor on the barbican.  But please do keep the gate locked. Se cannot maintain security of your belongings if this gate is left unlocked.
Vehicles – Please note that the Castle is open to the public from 10am – 6pm every day; therefore we can’t have any vehicle movement between these times across the site – except in the case of medical emergency. All vehicles need to be parked up in the plastic campsite and parking areas by 9.30am each morning at the latest.  Routes across the site may vary depending on ground conditions - please do follow instructions from the EH staff. Once LH equipment is dropped off, please return vehicle to campsite/car park area. Vehicular access to the LHE is OK during arrival on Friday afternoon; naturally, maximum speed 5MPH, headlights & hazards on please.  But please note the site may be very damp and we want to limit the amount of traffic driving across so please do be mindful of ground conditions.  No joy riding across the site in authentic vehicles. Depending on ground conditions but we may have to prevent authentic vehicles taking part in the event

Fires – This is an archeologically sensitive site and there can be no digging on site - fire pits are not allowed anywhere. All fires must be above ground in fire boxes so arranged as to cause no charring of the grass as this can affect subsequent Carbon 14 dating. There is a supply of firewood at the outer by the compound near the toilet block. There should be no open fires in the plastic camp/car parks area.
Loos – There is a loo block by the Master Gunners and also hard by – a block of portaloos for overnight use.  The loos have been placed where they are best sheltered from the wind.  The Loos are scheduled to be cleaned each morning. 
Rubbish – Please bag all rubbish before placing it in the skip next to the compound. We’d be most grateful if nothing loose is dropped into the skip – this can be a very windy site & loose stuff gets blown about the grounds. 
Fire Points – Please note the Fire Points – with extinguishers in the modern campsite/ performers car park and the Master Gunners house area.  In the event of an emergency please do sound the alarm on the fire points and inform the Security guard or member of staff (if on site) and the emergency services if required.  Also feel free to use the extinguishers if you feel able.
Water – There is a drinking water tap on the left hand wall of the Master Gunners house. Please be aware that we sometimes have very low water pressure.
Entrances, Exits, - There is only one way in and out of the Castle =- and that’s through the gatehouse and up the barbican which is only.  This is only one way – once arrived and parked on site there can be no vehicle movement until closing time each day.  The gatehouse has a max width of 10’ and a max height of 10’.  The gradient of the Barbican is unsuitable for any vehicles/trailers/caravans that have a large overhang as the steep turn towards the top corner result in long vehicles being grounded.
Tea Room/Museum – the new museum and tea room at Scarborough contains many finds from archaeological digs on the site.  Please do not use the tea room when in costume.  No matter how good the LH displays are – a uniformed soldier drinking a can of coke, etc can ruin the impression.  Obviously tea bought and then poured into an authentic mug is OK.  Apologies for teaching granny to suck eggs.
Arena events – Non combatants.  Non combatants will certainly be appreciated to help steward the barrier lines.  But please be aware not to stand/sit in front of visitors who may have claimed their viewing spot some time before displays start. 
Other guests – Hautbois, Guardarobe, Dave Mc Laughlin, etc.  Just to let you know others staying on the campsite will include our invited music duo – Hautbois, 2 Costumed interpreters Guardarobe (and a baby – so please have a care with late night noise!), our MC for the weekend Dave McLaughlin and maybe also one or two EH event staff.  They will certainly observe your campsite etiquette of noise at night, etc.
Children – Children must be supervised at all times.  Please, please no climbing
Dogs – Must be kept on leads and obviously poop scooped
Smoking – Please be sure when smoking with modern cigs in kit not to be in sight of the public
Please also regard the wooden compound by the toilet block as out of bounds.Walking about the site at night – You will all know all too well the nature of historic sites, with bumps and lumps, long grass, steep banks, slippy grass and stones, darkness at night, etc, etc.  Please be careful when walking about at night – to the portaloos, etc.
Packing down – I’m aware of the distance that many of you will have travelled and the need for swift exit on Sunday. Please do not pack down until Dave has given clearance.  I will be looking for a pack down time of 4pm, but please do not drive vehicles across the site unless Dave and I have given clearance.  Finally, thank you to Paul Hillditch for all his hard work in planning for this event.    Jon Hogan – Events Manager
